Managed build · Sales pipeline

Your sales pipeline management system, from renewals to every open proposal. Keep it flowing.

Every week, each account manager sees which proposals are still waiting on an answer, and each contract renewing in the next 90 days gets a recommended price from its own hours and margin, or is flagged for your call when there is too little to go on. Renewal season starts with the numbers in hand.

Founder pricing for our first 3 clients: a lower rate locked for 12 months, in exchange for a monthly feedback call for the first three months and an anonymized write-up of the results. 3 of 3 seats left.

See what it looks like

A one-minute walk-through, then the report as it arrives and the same week as it reads on a phone. Yours carries your logo and your own numbers.

Page one of a Renewal Queue report: contracts renewing in the next 90 days, their value, hours and margin against estimate, and a suggested price for each with the reason.
The renewal queue: every contract renewing in 90 days, priced from what it actually cost.
An account manager's renewal e-mail on a phone: their renewals coming up, overdue ones, proposals waiting, and site issues to raise first.
Each account manager gets their own book: renewals to price, proposals to chase.

Sample. Invented company, people and numbers.

What lands in your inbox

Built from your own system, on a server in your own account that we run for you. Reports are emailed on a schedule; nothing here depends on anyone opening a dashboard.

1

Proposal follow-ups, every Monday

Each account manager gets their own list: proposals waiting on an answer, each one back every week until it is won or lost or passes the usual decision window for its kind of work, plus their renewals coming up. After that it goes on a once-a-month list to close out or mark lost. Your report shows how many proposals are out and what they are worth.

2

Renewal queue, 90 days out

Every contract renewing in the next 90 days, most urgent first: overdue, due within 30 days, then the rest. Value, account manager, and whether a renewal proposal is already out. Contracts already renewed drop off.

3

Hold or increase, contract by contract

Which contracts can hold their price and which need an increase, with a target price and the reason in numbers: years renewed, hours and margin against estimate. Contracts with too little history, or too few visits to judge, are flagged for your call.

4

Cut-offs from your own numbers

The hours and margin lines that call for a larger increase, and how long each kind of proposal stays on the weekly list, are proposed from your own history in the first week, and you approve or adjust them. In the same week, a one-time sheet lists every proposal already past its window, so the team can close them out before the first monthly list. Each quarter we rerun the check and show you what moved.

We never change a price in your system or contact your clients. Every recommendation is yours to accept or change.

Coming next

Not built yet. We will say so plainly when that changes.

  • Account manager scorecard. Revenue, gross margin and estimating accuracy by account manager, side by side: who is leading, and whose estimates need a closer look.
  • At-risk renewals, ranked. Renewals ranked by how likely each client is to leave, from your own renewal history, so the ones you cannot afford to lose are called first.
  • Upsell list. Accounts with room for more work, such as enhancements or added services, based on what similar properties already buy from you.
  • Pipeline over time. The Monday count and value of open proposals, tracked week over week, so you see a thinning pipeline before it reaches revenue.
  • Intake to your system. A lead from your website form becomes an opportunity in your platform without anyone re-keying it.
  • Win-back list. Lapsed contracts and turned-down proposals at properties you no longer serve, ranked by value and how close they sit to your active accounts.

How it is built

Full Book is built new by SecondOrder: each contract priced from its own hours and margin.

During the trial, every report is checked against the numbers you already trust, before you rely on it.

You configure, we run

One short setup sheet:

  • · Who receives the report, and which account managers get their own list
  • · How long each kind of proposal stays on the weekly list, and when the monthly close-out list goes out
  • · Renewal window, the hold and increase rules, and which contract types count
  • · Your logo on the weekly PDF

Who it fits

Companies with recurring maintenance contracts and a steady flow of proposals, where renewal pricing is decided late and follow-up runs on memory.

How it is priced

Trial

Thirty days on your own data, free. It starts with an account signup, which includes your billing details; nothing is charged during the 30 days, and nothing at all if you cancel before they end. On one setup call you open a small cloud account in your company's name and give us view-only access to your system; within three days the first versions of your own reports and your baseline arrive by email.

Monthly

One flat monthly fee, month to month, no setup fee. It pays for the running, the checks and the updates, never for access to your platform or its data. The server sits in a cloud account in your name, billed to you directly, about the price of a lunch a month: you own it, we manage it, and your credentials stay yours to revoke.

Every month, for Full Book

  • The report runs every Monday and we check every run; renewed contracts drop off on their own, and a proposal drops off once it is marked won or lost.
  • Follow-up timing and the hold and increase rules tuned as you see the first reports.
  • Updates when your platform changes.

If you leave

Month to month after the trial: cancel with 30 days' notice and no cancellation fee; service runs to the end of your last paid month. The server and your data stay yours, and we remove our access. If you would rather keep the reports running yourselves, you can buy a permanent license to the code and its documentation.

Paying three, six or twelve months up front adds extras, up to two months free. See the pay-ahead options

Which Audit statements this moves

  • 1. We know today which contracts renew in the next 90 days and what each is worth, without building a spreadsheet to find out.
  • 2. Renewal pricing and enhancement proposals go out on a calendar we set, not when the client asks or cancels.
  • 4. Every open proposal has a scheduled follow-up, and we could say right now how many are sitting unanswered.
